  1. Introduction We will explain what we do with the information we collect from you, how we manage it, and keep it secure.
  2. Basis for using your information We only use data that you provide to us directly, which means we have your consent. We do not use any personal data from publicly accessible sources.
    We use your information solely for the specific purpose for which you provided it. If you have subscribed to a mailing list, we will send you our offers with the option to unsubscribe at any time.
    There may be occasions when we use your data to fulfill our contractual obligation to you. For example, issuing certificates or other documents.
    If you have requested information about our language services or need information about the course you or a family member are attending, we may share your contact details with a customer relations specialist.
    If you have made a payment to us (e.g., for a course), we may share your details with relevant government authorities for legitimate purposes (e.g., fraud investigation) as it is a legal obligation for us.
  3. What data do we collect? We collect your personal data in the following situations:
    • When you fill out any form at our premises or on our website www.ihtm.ro or our Facebook page (e.g., event registration), we record and use the information to contact you regarding your request.
    • When you complete a language proficiency test, we receive your details and score results via email.
    • When you apply for a job, we do not share your information with other individuals or legal entities.
    • When you enroll in a course on our website, we collect your contact details and relevant information about your interests and objectives to facilitate the course administration, contact you regarding the course or payments, and issue certificates afterward.
    • If you contact us to file a complaint, we will share the details with management or the person you are complaining about to investigate and help resolve the issue.
  4. Who do we share your data with? We collaborate with other companies such as IT companies supporting our website and other business systems, financial companies processing payments (e.g., PayPay, Pay to Study, BRD), and CRM firms. They have access to your data only to the extent necessary for fulfilling their contract with us and are legally responsible for protecting your personal data.
  5. How long do we retain your data? We retain your data only for as long as necessary. For example:
    • If you apply for a job, we will retain your information for a maximum of 12 months from the last application date.
    • If you file a complaint, we will keep your details for a maximum of 12 months from the date of complaint resolution.
    • If you enroll in a course with us, we will retain your details for a maximum of 24 months. After 24 months, you cannot request certificate issuance.
  6. Your rights You have the right to:
    • Request access to the personal data we hold about you. We may charge an administrative fee for providing this.
    • Request correction of your personal data when it is incorrect, outdated, or incomplete.
    • Withdraw your consent for us to use your data. If you do so, we will stop using your personal data and delete it.
    For any of these requests, we will respond within 30 days of receiving the request via email at management@ihtm.ro.
  7. Data deletion You have the right to request the deletion or removal of your data. For example, if you have previously subscribed to an email list, you can click on the “unsubscribe” link, which will remove you from the list and stop further emails.
